Houston companies that tend to reach out
Pipe, valve and fitting distributors
Suppliers to plants and contractors carry deep catalogs, customer-specific part numbers and material certifications that must follow every piece.
- โLot and heat number tracking
- โCustomer item references
- โBlanket orders from plants
Engineering and fabrication shops
Firms building skids, vessels and structural steel quote to a drawing, buy materials per job and bill on milestones.
- โJobs with task budgets
- โPurchases charged to jobs
- โProgress billing
Medical and lab suppliers
Distributors serving the city's large hospital and research systems handle expiry dates, consignment stock and contract pricing.
- โExpiration tracking
- โConsignment locations
- โContract price lists
Importers and freight businesses
Companies moving goods through the Port of Houston juggle container costs, duties, drayage and customers paying in several currencies.
- โLanded cost with item charges
- โMulti-currency invoicing
- โContainer-level receipts
Hurricane season and a ledger with no server closet
Anyone who ran a Houston business through Harvey remembers the phone calls about whether the office server was above the waterline. Business Central online removes that particular worry. Microsoft hosts it in its Azure data centers and handles backups, so a flooded or closed office does not take the accounting down with it. Staff sign in from home, a hotel or a branch in another city and keep invoicing.
The trade-off is dependence on internet access. Warehouse scanners and shop-floor tablets need a connection, so we plan fallback steps for a site that loses power or service for a few days, such as printed pick lists and a short procedure for keying receipts once the link returns.
We also look at the pieces around Business Central. Bank connections, payroll, EDI and shipping tools each need their own continuity check, since the ERP staying up helps little if the payment file cannot reach the bank.
Where Houston quotes, jobs and parts land in Business Central
A Houston rollout from first conversation to first close
- 1
Walk one order end to end
On a video call we follow a real quote through purchasing, receiving, shipping and cash. That trace tells us more than a questionnaire.
- 2
Agree the scope on paper
Modules, integrations, data to convert and reports go into a written scope, together with anything we are leaving out.
- 3
Build and test with your transactions
Your team runs its own orders in a sandbox, including a certified lot, a job purchase and an import with duties.
- 4
Visit when the yard matters
Workshops stay remote from our Phoenix office; if your pipe yard or fab shop layout shapes the design, a consultant comes to Houston for those days.
- 5
Cut over and close together
Go-live avoids your busiest shipping weeks, and we sit beside finance through the first month-end.
Where we tell Houston companies to look elsewhere
- โA commodity trading desk that hedges physical positions needs a trading and risk system; Business Central can take the accounting results afterwards
- โRefinery maintenance planning belongs in an enterprise asset management tool, with only the cost postings flowing into the ledger
- โA small consultancy with no stock and simple billing may do better tightening its current software for now
Houston buyers usually ask
Can Business Central store material certifications with the stock?
Yes, lots can carry heat numbers and the certificate can be attached to the lot or the receipt. When the material ships, the lot links to the sales shipment, so you can find which customer received which heat. Some distributors add a document management app for large volumes of PDFs. We decide during design based on how many certs you handle.
Our fabrication jobs run for months. How do we bill progress?
Jobs in Business Central support billing against milestones or percentage complete. Costs post to the job as materials are bought and hours are recorded, and work in process is calculated at month-end. That gives project managers budget versus actual while the job is still open. We set the method with your controller and auditor.
What happens to our data if a storm closes the office?
Nothing, because the data does not live in the office. Business Central online runs in Microsoft's cloud, and staff with internet access can keep working from anywhere. The weak points are usually local: scanners, label printers and connections to other tools. We plan those in the continuity check.
Can we move off our old distribution software without losing history?
Usually we move open items, balances and master data, and keep detailed history in an archive or a reporting database. Loading years of old transactions into a new ledger is slow and rarely pays off. Your team can still look up old orders when needed. We agree the cutoff with you during scoping.
