A school's money arrives on a different clock from its costs. Re-enrollment contracts and deposits come in during spring, tuition is billed over summer, and teaching happens from September to June. Business Central lets you define accounting periods that start whenever your fiscal year does, so July or September openings are normal setup, not a workaround.
Deposits sit as a liability until the term starts. Tuition invoices can carry a deferral template that releases revenue month by month across the teaching period, so the income statement shows earned tuition rather than billed tuition. Financial aid and sibling discounts post as their own lines, which lets the head of school see gross tuition, discount rate and net revenue side by side.
Auditors like this arrangement because the deferred revenue schedule is produced by the system, not rebuilt in a spreadsheet each June.

Student system or Business Central: who owns each record
Where Business Central strains for schools
- βPublic charter schools often must report on a state-prescribed chart of accounts and fund structure. That can be mapped with dimensions and financial reports, but check your state's requirements before choosing any commercial ERP.
- βBusiness Central has no student billing portal. Families pay through your student system or a tuition management service, and totals come across.
- βFund balances by individual endowment or restricted fund are reported through dimensions; the system does not enforce a balanced set of books per fund.
- βFaculty paid over twelve months for a ten-month contract is a payroll question. Business Central has no native US payroll, so the accrual comes from your payroll provider's data.
- βLarge universities with research administration, sponsored programs offices and very large grant portfolios need a higher-education ERP, not Business Central.

Does Microsoft offer academic pricing for Dynamics 365?
Microsoft runs academic licensing programs for qualifying educational institutions, and some Dynamics 365 offers have been included. Eligibility rules and available products change, so confirm current terms with a Microsoft licensing partner before budgeting. We do not quote licence prices on this site.
Can we keep our current student information system?
Yes, and most schools should. The usual design posts invoice, payment and aid totals from the student system into Business Central on a schedule. If the student system has an export or an API, that feed can be automated; if not, a structured file import works.
We are moving from QuickBooks. When should we switch?
The cleanest cutover is the first day of a new fiscal year, after the audit of the prior year is underway. A mid-year switch is possible but means bringing year-to-date activity across and reconciling it. The scoping call looks at your audit calendar and picks the date with you.
How are restricted gifts handled?
Each gift carries a restriction dimension and, where useful, a purpose dimension such as financial aid or capital. When spending meets the donor's purpose, a release entry moves the amount to without-restriction net assets. Reports then show both classes as nonprofit accounting standards require.
Is Business Central suitable for a training company rather than a school?
Often more so. Training firms sell courses to businesses, invoice by contract and track instructor costs, which maps directly to projects and sales invoicing. Deferral templates handle prepaid course packages the same way schools handle tuition.
