What Dynamics 365 is, and is not, in a regulated firm

Financial firms usually already own a system of record for the regulated work: a loan servicing platform, a policy administration system, a custodian feed or a portfolio management tool. Those systems are specialized for good reason, and Dynamics 365 should not try to replace them.

The gap is everything else. Prospects tracked in spreadsheets, client requests buried in shared inboxes, onboarding steps held in someone's memory, and a general ledger kept in basic accounting software that cannot handle several legal entities. That is where Dynamics 365 Sales, Customer Service and Business Central or Dynamics 365 Finance earn their place, connected to the core systems rather than competing with them.

Who changed what

Dataverse auditing records field changes with the user and time, and Business Central's change log does the same for ledger setup and master data. Both must be switched on for the tables you care about.

Who can see what

Security roles, business units and field-level security restrict sensitive data such as account numbers or income details to the people who need it.

How people sign in

Access runs through Microsoft Entra ID, so multifactor authentication and conditional access policies apply to Dynamics 365 the same way they apply to email.

Approvals and separation of duties

Approval workflows for payments, journals and vendor changes, plus permission sets, keep the person who enters a payment from also releasing it.

Where the data lives

You choose the Azure geography at tenant setup, and Microsoft publishes its compliance documentation in the Service Trust Portal for your own review.

Cases where we would advise against it

  • βœ“You need a loan origination, servicing or collections platform. Buy one built for lending and integrate the relevant data.
  • βœ“Your main problem is portfolio performance reporting or fund accounting. Those are specialist systems, and Dynamics 365 should only receive summaries.
  • βœ“A small practice with a few advisers is well served by an industry CRM already connected to its custodian. Moving to Dynamics 365 adds setup work for little gain.
  • βœ“Nobody in the firm will own the system after go-live. Configurable platforms need an owner, or they drift into inconsistency.

Does Dynamics 365 make our firm compliant?

No software makes a firm compliant on its own. Dynamics 365 gives you tools such as auditing, role-based security, retention settings and approval workflows, and Microsoft publishes documentation about its own controls. Your compliance team still decides the policies, and we configure the system to follow them.

Can we track households rather than individual clients?

Yes. Contacts can be grouped under an account that represents a household or a business, with relationships between members. Opportunities, cases and activities attach to the right level. This takes some design work up front so reports count clients the way your firm does.

Will it connect to our custodian or core system?

Usually through the core system's API, a file feed or an integration platform. Balances, positions or loan status are brought in as read-only summaries so staff see them next to the client record. The core system stays the source of truth for regulated data.

Should our firm's accounting run on Business Central or Dynamics 365 Finance?

Most small and mid-sized firms, including groups with several legal entities, fit Business Central, which handles intercompany postings and consolidation. Dynamics 365 Finance suits larger groups with heavy consolidation, many currencies and a big finance team. We compare both against your entity structure before recommending.

Can client emails be logged automatically?

Dynamics 365 connects to Outlook and Exchange so emails and meetings can be tracked against the client record, either by the user or through server-side synchronization. Firms with retention obligations usually keep their email archive as the record and use Dynamics 365 for the working view. We set this up with your records policy in mind.
