Sage 50 to Business Central migration for growing US companies.

A Sage 50 to Business Central migration works best when it starts with the chart of accounts, because Sage 50 often hides departments, divisions and locations inside the account number itself. Untangling that is where most of the reporting benefit comes from. Everything below refers to Sage 50 in the United States, the product formerly sold as Peachtree.

Account masks become dimensions

Sage 50 lets you mask the account ID so part of the number stands for a department: 6100-10 for payroll in one department and 6100-20 for the same expense in another. It works, but it multiplies the chart of accounts, and every new department means creating a copy of each account it touches.

Business Central keeps the natural account and the department apart. Account 6100 exists once, and the department is a dimension value recorded on each entry. Reports can then show payroll by department, by location or by both, without a single extra account.

The migration maps each masked account to its natural account plus one or more dimension values. Historical balances by masked account convert cleanly into balances by account and dimension, so last year's departmental reports still line up with this year's.

Which Sage 50 are you on?

Sage sells products under the Sage 50 name in several countries, and they are not the same software. The US edition, the Canadian edition and the UK product each have their own data structure and export tools. This page covers the US product. If your file came from another country's edition, the plan is similar but the extraction steps differ.

Within the US product the tier matters too. Pro, Premium and Quantum differ in job costing depth, the number of companies and inventory features such as serial numbers. We confirm which features you actually use before mapping anything, since an unused feature needs no migration at all.

From Sage 50 export files to posted opening entries

    Export with Sage's own templates

    The Sage 50 import and export function writes customer, vendor, item, chart of accounts and journal data to CSV files. Those files, plus the aged receivables and payables reports, are the raw material for the mapping.

    Map in a workbook you approve

    Every Sage 50 account, customer type, item class and job sits next to its Business Central destination. You mark up the workbook; nothing loads until it is agreed.

    Test load into a sandbox

    The mapped data goes into a Business Central sandbox and a test trial balance is posted, so your team sees its own numbers in the new system before go-live.

    Close the last Sage 50 month

    At cutover the final Sage 50 period is closed, and the trial balance and agings are saved to PDF and filed as the handover record.

    Load for real and compare

    Open invoices, open bills, inventory on hand and balances are posted in production, then compared line by line with that PDF record.

What stays in the Sage 50 archive

  • βœ“Closed fiscal years and their transaction detail, summarized into monthly totals by account and dimension if comparisons are needed.
  • βœ“Account reconciliation history for each bank account, replaced by the last reconciled balance and the outstanding items.
  • βœ“Payroll history and tax forms, which remain with your payroll provider or in the archived company.
  • βœ“Custom forms designed in Sage 50, rebuilt as Business Central report layouts in Word or Excel.
  • βœ“Recurring entries, set up again as recurring journals after a check that each one is still needed.
  • βœ“The audit trail. Keep the archived company and a way to open it for as long as your records policy requires.

Sage 50 migration questions

Why not move up to a bigger Sage product instead?

That is a fair option, and for some companies the right one. Staying with Sage keeps more of the terminology your team knows. Business Central makes more sense when you already use Microsoft 365, want dimensions rather than account masks, or expect to add warehouses, entities or manufacturing. We explain the trade-off openly on the first call.

Can we keep our account numbers?

You can keep the natural account numbers your team knows by heart. What changes is that the department or location part of a masked number moves into a dimension. Most accountants find the shorter chart easier to work with after the first month-end close.

How are open jobs handled?

Only jobs with work still in progress come across. Each becomes a Business Central project with tasks that follow your phases, and budgets are loaded as planning lines. Costs and billing to date are brought in as opening amounts so job profitability reports keep running totals. Completed jobs stay in the Sage 50 archive.

Our Sage 50 data sometimes needs repair. Does that matter?

It matters for extraction. Run Sage's data verification tools and fix what they report before the export, because damaged records produce incomplete CSV files. We check record counts in every export against the counts on screen, so a missing customer or item is caught before it becomes a missing balance.

What does a Sage 50 migration cost?

It depends on the number of companies, inventory, job costing and how much history you keep. We scope it in writing first, and the scoping call sets the plan. No figure is given before that written scope exists.
