Why Power BI totals sometimes disagree with Business Central

The fastest way to lose a CFO's trust is a dashboard revenue number that does not match the trial balance. In a Business Central Power BI integration, the gap almost always comes from the model, not the connector. Common causes are mixed posting and document dates, or entries from one company but not another. Others are unposted documents counted as sales, or a dimension filter that quietly drops blank values.

We build every finance model to reconcile to Business Central before anything else. G/L totals by account and period must tie to the trial balance. Customer and vendor balances must tie to the aged receivables and payables reports. And inventory value must tie to the inventory valuation report. Only then do we design the visuals.

Refresh timing matters too. Power BI shows data as of its last refresh, so a report refreshed overnight will not show this morning's postings. Say so on the report page, and be clear about what the report is for. It shows trends and analysis; it does not replace looking up a live balance in Business Central.

Power BI and Business Central questions

Does everyone need a Power BI licence?

Anyone viewing shared Power BI content generally needs a suitable Power BI licence or access through capacity your organization pays for. The rules and prices change, so check Microsoft's Power BI pricing page or ask your licensing partner. We design around the licences you already hold and say when a change would make sense.

Can Power BI combine several Business Central companies?

Yes, the connector can read each company, and the model can append them for group reporting. Intercompany eliminations and currency translation need explicit logic in the model, or can come from a consolidation company in Business Central. We decide which approach fits during design, based on how you close the books today.

Will scheduled refreshes slow Business Central down?

They can if a model pulls large tables in full at busy times. API queries, incremental refresh and off-peak schedules keep the load low. Business Central also applies its own limits to API requests, and a well-built model stays comfortably within them.

Can we see Power BI reports inside Business Central?

Yes, role centers and some list pages include Power BI parts where a user can choose reports to display. The user also needs access to that report in Power BI. It is a practical way to put a handful of key measures in front of people without asking them to open another app.

Should we use Microsoft Fabric or a data warehouse?

Only when volumes, history or the number of source systems make a direct connection to Business Central impractical. For many mid-sized companies the connector and a well-built model are enough. When a warehouse does make sense, we scope it as its own piece of work with its own written plan.
