Signatures tied to documents

Business Central DocuSign integration for quotes, contracts and credit applications.

A Business Central DocuSign integration sends a document from the ERP for signature and brings the signed copy and its status back to the record that started it. Without it, a salesperson saves a quote as PDF and uploads it to DocuSign. Later they download the signed version and forget to attach it. Then nobody in finance can tell whether the customer ever signed. The goal is simple: one action to send, a visible status, and the signed PDF sitting on the quote, order or customer card.

Documents worth signing from Business Central

Sales quotes

A signed quote records the customer's acceptance, and completion can prompt conversion to a sales order.

Blanket orders and contracts

Supply agreements and annual pricing commitments, with the signed copy kept on the blanket order or customer card.

Customer credit applications

New accounts sign terms and a credit application before you set a credit limit in Business Central.

Vendor onboarding forms

Supplier agreements and compliance forms signed before you release a new vendor for payment.

How a signature round trip works

  1. 1

    Generate the document

Business Central renders the report layout to PDF, the same layout the customer would otherwise receive by email.

  2. 2

    Create the envelope

The integration sends the PDF to DocuSign with recipients from the contact record, and signature fields placed by anchor text in the layout.

  3. 3

    Track status

DocuSign Connect or a polling job updates a status field on the record: sent, viewed, signed or declined.

  4. 4

    File the signed copy

The integration attaches the completed PDF and its certificate of completion to the record, or links them from a document library.

  5. 5

    Act on completion

Optional next steps run once signed, such as notifying the account manager or releasing the order for picking.

Choosing how to build it

Power Automate is the lightest route. Its DocuSign and Business Central connectors can create an envelope when a record changes, wait for completion and write the result back. It suits a company sending a modest volume of documents that follow one template. It also keeps the logic visible to someone who is not a developer.

AppSource offers e-signature apps from several vendors that work inside Business Central. They typically add a send action to documents and a status column to lists. Judge them on which documents they support, whether they handle several signers in order, and where they store the signed file.

A custom Business Central DocuSign integration makes sense when signing rules are specific. Think of templates by region, routing to legal above a set value, or envelopes that join a quote with terms held elsewhere. It gives the most control and carries the most upkeep. Whichever route you choose, your DocuSign plan must allow API or connector use, so check current plans with DocuSign.

Decisions to settle before the first envelope

Question
Why it matters
Which document types and report layouts
Each layout needs anchor text for signature and date fields
Who signs, and in what order
A countersignature by your own signatory changes routing and status logic
Where signed copies live
Attachments grow database storage, so a SharePoint library may suit high volumes
What a decline or expiry triggers
Someone needs an alert, and the record should show the outcome clearly
Which DocuSign account sends
A shared sender keeps envelopes visible when staff leave

Signs you do not need an integration yet

  • โœ“Only a handful of documents a month need signatures, and the DocuSign web app handles them well
  • โœ“A CRM or contract system that already connects to DocuSign manages your signed contracts
  • โœ“Your documents change so much per deal that a template-driven send would rarely fit

DocuSign and Business Central questions

Is there a ready-made DocuSign app for Business Central?

Several vendors offer e-signature apps for Business Central on AppSource, and the list changes. So search AppSource for current options rather than trust a name from an old article. Check who publishes each app, which signature services it supports and what it costs. We compare what is available against your documents during scoping.

Can signing a quote create the sales order automatically?

Yes, once the integration knows the envelope is complete it can run Business Central's quote-to-order conversion. Many companies still prefer one human check, because pricing or stock can change between sending and signing. A common middle ground is notifying the rep on completion, who then makes the order.

Are electronic signatures legally valid for our contracts?

Electronic signatures are generally enforceable in the US under the federal ESIGN Act and state laws based on UETA. However, some document types have special rules. Ask your lawyer about the specific contracts you plan to send. The integration's job is to keep the signed copy and its completion certificate with the ERP record.

More Business Central DocuSign integration questions

Where should we store the signed PDF?

Store it on the Business Central record when volumes are modest. When volumes are high, or people without Business Central need access, use a SharePoint library with a link on the record. Either way, keep the certificate of completion alongside it. We make this call with your retention rules in mind.

What if a customer signs on paper instead?

The record should end in the same state: a scanned copy attached and the status set to signed by hand. Allowing a manual status keeps reporting honest, because otherwise paper-signed deals look unsigned forever. We include that option in every design since it happens more often than people expect.
