AI features in plain English

Copilot in Business Central guide: what it does today, where it helps, and how to switch it on sensibly.

This Copilot in Business Central guide explains the AI features Microsoft has built into the product, what each one is genuinely useful for, and how an administrator decides which to enable. Copilot in Business Central suggests; people decide. It drafts text, proposes matches and fills in lines, and a user checks every suggestion before anything posts. Features differ by region, product version and admin settings. So treat this page as a map of the well-known features, and check your own tenant for what you can use.

Where Copilot in Business Central appears in everyday work

Marketing text for items

Drafts product descriptions from an item's attributes. Staff edit them before they go to a web shop or catalogue.

Bank reconciliation help

Proposes matches between bank statement lines and ledger entries, even ones the standard rules miss. A person accepts each one.

Sales line suggestions

Suggests lines for a sales order from a description or from similar past orders, speeding up entry for repeat customers.

Copilot chat

Answers how-to questions about Business Central. It also helps users find records and pages by asking in plain language.

Copilot availability in Business Central: region, version and settings

Copilot features arrive through Business Central's regular update waves. Microsoft often releases them in preview first. Whether a feature appears in your tenant depends on your version, your region and your language. In some cases it also depends on whether Azure OpenAI may process your data in another geography.

Administrators control this from the Copilot capabilities page inside Business Central. There they switch single features on or off. Some preview features start switched off, so an administrator must opt in. In some regions, Microsoft does not host Azure OpenAI locally. There an administrator may need to allow data movement across geographies first. Make that policy call on purpose, not by default.

Because the list changes with each release, this Copilot in Business Central guide sticks to well-known features. For anything more specific, check Microsoft's release plans and documentation before you promise it to your team.

Rolling out Copilot in Business Central without surprises

  1. 1

    Check what your tenant offers

Open the Copilot capabilities page in a sandbox copy of production. List which features are available, in preview or missing for your region and version.

  2. 2

    Decide the data policy

Read Microsoft's documentation on how Copilot handles data. Then involve your privacy and security owner, and decide on cross-geography processing.

  3. 3

    Pilot with a small group

Enable one or two features for a few users who do that work daily. Ask them to note where suggestions help and where they mislead.

  4. 4

    Tighten the data underneath

Clean item attributes, bank matching rules and customer records, because better data produces noticeably better suggestions.

  5. 5

    Expand with short training

Roll out to the wider team with a brief walkthrough that stresses review before posting. Revisit the settings after each update wave.

People stay accountable for what Copilot in Business Central posts

Microsoft built every Copilot feature in Business Central around review. The user sees the suggestion, can change or reject it, and only then saves or posts. That is a good design, and it only works if people actually read what they accept. Auditors will still expect an accountable person behind every journal and every reconciliation, and Copilot does not change that.

The practical risk is not that Copilot posts something on its own. It is that a busy user accepts a plausible match without looking. Keep approval workflows and segregation of duties exactly as they are. Treat Copilot as a faster way to prepare work, not a reason to skip checks. Also, spot check accepted suggestions during the first month end. It shows quickly whether people read or just click.

Copilot in Business Central guide: owner and admin questions

Is Copilot included with Business Central?

Microsoft has included the core Copilot features in Business Central for eligible customers. However, terms can change, and some features may need a separate license. Check Microsoft's current licensing guide and pricing page for your edition. Your partner quote should also list what it includes. We do not quote Microsoft prices because they change.

Why can't we see a Copilot feature that Microsoft announced?

The feature may not reach your region, language or version yet. Or an administrator may need to switch it on, since many preview features start off. Check the Copilot capabilities page in your environment and compare it with Microsoft's release plan. Some features also require allowing data movement across geographies.

Does Copilot post transactions without anyone checking?

No, Copilot in Business Central suggests and a user confirms. Drafted text, proposed bank matches and suggested sales lines all wait for a person to accept, edit or reject them. Your approval workflows and permissions still apply. The real risk is people accepting suggestions without reading them, which training should address.

Copilot data use and where a small company starts

Is our data used to train Microsoft's AI models?

Microsoft states that it does not use customer data in Copilot for Business Central to train its foundation models. It also publishes documentation on how it processes data. Read it yourself, because your privacy policy must rely on that wording. Your security or privacy lead should sign off before anyone enables features. We walk through the settings with them during rollout.

Where should a small company start with Copilot?

Start with the feature that matches a daily pain point, often bank reconciliation or item descriptions. Pilot it with the people who do that work. Clean the data it depends on, and measure whether it saves effort. Expand only when the pilot users say it helps. Chasing every new feature at once usually produces confusion rather than benefit.
