Dynamics 365 Project Operations implementation for firms that sell time and expertise
A Dynamics 365 Project Operations implementation is for firms whose product is a project: consultancies, engineering practices, agencies and IT services. It links the quote a salesperson writes to the people booked, the hours they log and the invoice the client receives. We start by tracing one real project from deal to final invoice, then configure the system around that path.

Where project firms lose margin
In many services firms the deal lives in a CRM, the plan in a spreadsheet, the hours in a timesheet tool and the invoice in accounting. Each hand-off loses something. Estimates are never compared with actuals, consultants are double booked, and unbilled time sits for weeks before anyone notices.
Dynamics 365 Project Operations puts those steps in one place. Sales quotes a project with roles and rates, the quote becomes a contract, project managers plan tasks and request resources, staff log time and expenses against the plan, and approved entries become billing lines.
What the implementation covers
Project quotes
Quotes built from roles, hours and price lists, with cost and margin visible before the client signs.
Contracts and billing types
Time and material, fixed price with milestones, or a mix of both on one contract.
Planning
Task plans with effort and dates, created in the planning tool inside the project, not a separate file.
Resource management
Requests by role and skill, a booking board, and utilization views for the people who staff projects.
Time and expense
Weekly time entry and expense capture from the browser or phone, with approval by the project manager.
Invoicing
Approved time and expenses become draft invoices that someone checks before they go out.
Finance link
Actuals, revenue and invoices flow to the general ledger, whichever deployment fits your finance system.
Project reporting
Estimate against actual, work in progress and utilization in Power BI, refreshed from the same data.
Which Project Operations deployment fits
How we roll it out
- 1
Trace one project
From first quote to final invoice, with the spreadsheets and emails people use today.
- 2
Choose the deployment
Lite, integrated or stocked, decided by your finance system and how you recognize revenue.
- 3
Configure and load
Roles, rates, price lists, resources and open projects set up and checked with project managers.
- 4
Pilot a practice
One team runs live projects for a full billing cycle before everyone else moves.
- 5
Firm-wide go-live
Time entry training for all staff and a close watch on the first month of invoices.
Project Operations questions
Can Project Operations work with Business Central?
Business Central has its own jobs and project features, which many smaller firms find sufficient. If you need Project Operations for resourcing and quoting while keeping another ledger, the Lite deployment produces proforma invoices that can be passed to your accounting system through an integration. We will tell you if Business Central alone is enough.
Is it the same as Microsoft Project?
No. Microsoft Project is a planning tool. Project Operations includes planning but adds sales quotes, contracts, resource booking, time and expense, and billing. The planning feature inside Project Operations is based on the same technology as Project for the web.
Do all staff need a full license?
Not always. Microsoft licenses Project Operations by role, and people who only enter time and expenses may need a lighter license than project managers. Check Microsoft's current licensing guide, because the rules change.
What usually takes longest?
Agreeing roles, rates and billing rules across practices, and loading open projects with their remaining budgets. The software setup is usually faster than those decisions.
